An offline invoice generator with no subscription and crypto payment details

Why use an offline invoice generator?

Most invoice software lives on someone else's server. You sign up, type in your clients, and your billing history sits in a database you don't control. An offline invoice generator flips that: the tool is a file on your computer, and your data stays there too.

That matters for three practical reasons.

• Privacy. Client names, amounts, tax IDs and wallet addresses never leave your device. There is no vendor database holding your client list.
• Reliability. It works on a plane, on weak café Wi-Fi, or when a hosted service is down on the day an invoice is due. There is no login screen between you and your work.
• Ownership. You keep the file. It doesn't vanish if a company shuts down, changes its pricing or moves your plan's features behind a higher tier.

The catch is that you, not a vendor, are responsible for backups. We come back to that below, because it is the one thing offline tools ask of you.

Invoice generator with no subscription: what you actually pay for

Online invoicing tools usually charge monthly or yearly, often with tiers that limit clients, documents or currencies. If you send a handful of invoices a month, that is a recurring cost for a job that hasn't changed in decades: fill in a template, total it up, send a PDF.

What every invoice should include

Whatever tool you use, a professional invoice needs the same core information. Missing details are a common reason clients delay payment or send an invoice back.

• A unique invoice number. Sequential numbers such as INV-2026-0042 make records easy to find and audit.
• Issue date and due date. A clear due date is one of the simplest ways to get paid on time.
• Your business details. Name, address, email and, where required, your tax or VAT number.
• Your client's details. Name, address and their tax number if they need to claim the expense.
• A description of each item. Quantity, unit price and line total, in plain language your client recognizes.
• The totals. Subtotal, any discount, tax shown as its own line, and the amount due.
• Payment instructions. Bank details, a wallet address, or both. Do not make the client ask.
• Terms. Late fees, payment window and any deposit already received.

Invoice, quote and receipt: three documents, one tool

People often use the words loosely, but they do different jobs.

• A quote (or estimate) is an offer made before work starts. It shows a "valid until" date instead of a due date.
• An invoice is a request for payment after work is delivered or a deposit is due.
• A receipt is proof that payment was received.

You can also mark prices as tax-inclusive, so the tax is extracted from the price instead of added on top. The label is yours to set: VAT, GST, Sales tax or anything else. Discounts can be a percentage or a fixed amount, and you can add shipping or fees.

How to put crypto payment details on an invoice

If you accept USDT, Bitcoin or other crypto, your invoice has to make paying you easy and hard to get wrong. A payment mistake on a blockchain usually cannot be reversed. A few habits prevent most problems:

1. Name the network, not just the coin. USDT exists on several networks, such as TRC20 (Tron) and ERC20 (Ethereum). Sending to the wrong network can lose the funds. Label the line "USDT (TRC20)", not just "USDT".
2. Let the client copy the address. Retyping a long address invites errors. In Invoice Studio, wallet addresses print as selectable text, so the client can copy them straight from your PDF.
3. Decide how you price it. You can issue the invoice in a stable coin such as USDT or USDC, so the amount is clear, or in a normal currency and state the payment amount separately.
4. Add as many wallets as you accept. Add a line for each coin and network. Clients pick the one they prefer.

Invoices in Arabic, Persian and other languages

Working with international clients often means sending documents in their language. Invoice Studio's document labels come in seven languages: English, Spanish, French, German, Portuguese, Arabic and Persian. Arabic and Persian documents switch to a proper right-to-left layout, and Persian dates use the Persian locale.

3. Add the client. Type their details, and save the client so you can pick them again later with one click.
4. Add line items. Description, quantity and rate. Drag lines to reorder them.
5. Set tax, discount and shipping if they apply.
6. Add payment details. Bank instructions, crypto wallets, or both.
7. Choose a look. Four templates (Classic, Modern, Compact and Typed) and eight accent colors.
8. Save and export. Press Save, then Print / PDF and choose "Save as PDF".

What an offline invoice maker doesn't do
