What every invoice should include
Whatever tool you use, a professional invoice needs the same core information. Missing details are a common reason clients delay payment or send an invoice back.
- A unique invoice number. Sequential numbers such as INV-2026-0042 make records easy to find and audit.
- Issue date and due date. A clear due date is one of the simplest ways to get paid on time.
- Your business details. Name, address, email and, where required, your tax or VAT number.
- Your client's details. Name, address and their tax number if they need to claim the expense.
- A description of each item. Quantity, unit price and line total, in plain language your client recognizes.
- The totals. Subtotal, any discount, tax shown as its own line, and the amount due.
- Payment instructions. Bank details, a wallet address, or both. Do not make the client ask.
- Terms. Late fees, payment window and any deposit already received.

How to put crypto payment details on an invoice
If you accept USDT, Bitcoin or other crypto, your invoice has to make paying you easy and hard to get wrong. A payment mistake on a blockchain usually cannot be reversed. A few habits prevent most problems:
- Name the network, not just the coin. USDT exists on several networks, such as TRC20 (Tron) and ERC20 (Ethereum). Sending to the wrong network can lose the funds. Label the line "USDT (TRC20)", not just "USDT".
- Let the client copy the address. Retyping a long address invites errors. In Invoice Studio, wallet addresses print as selectable text, so the client can copy them straight from your PDF.
- Decide how you price it. You can issue the invoice in a stable coin such as USDT or USDC, so the amount is clear, or in a normal currency and state the payment amount separately. Bitcoin, Ethereum and Monero amounts display up to eight decimal places.
- Add as many wallets as you accept. Add a line for each coin and network. Clients pick the one they prefer.
- Check the address once, then reuse it. Duplicate a previous invoice as a new draft and your wallet lines come along, so you never retype a long address.

- Web developer: "Marketing site, 5 pages, responsive build" (fixed price), or "Development, 24 hours at $60" (hourly).
- Graphic designer: "Brand identity: logo, colour palette, typography" as one line, with "Revisions, additional round" as a separate line if the client asks for more.

Invoices in Arabic, Persian and other languages
Working with international clients often means sending documents in their language.
